About Preloved to Beloved

Preloved to Beloved (P2B) is a circular giving initiative of Vietnam Children’s Fund Social Enterprise. We collect and resell donated pre-loved fashion items, using 100% of net profits to provide new, warm clothing for children in disadvantaged and cold regions across Vietnam.

ROLE OVERVIEW:

We are seeking an organised, detail-oriented Store & Program Operations Specialist to support the day-to-day operations of the Preloved to Beloved store. The role ensures smooth sales operations, responsible management of donated items, and positive experiences for customers and donors across both offline and online channels.

This hands-on, execution-focused role covers store operations, donation intake, merchandising, online sales support, and basic content creation, while also supporting program and administrative activities. The successful candidate will demonstrate reliability, flexibility, and a strong sense of ownership in a fast-paced social enterprise environment – where every item sold helps bring warmth, health, and educational opportunities to children in need.

KEY RESPONSIBILITIES:

  1. Store Operations, Sales & Customer Experience
  • Support daily store operations and product displays, including product pricing, tagging, replenishment, and regular stock checks in accordance with P2B guidelines.
  • Process sales transactions, promotions, and customer enquiries using MISA eShop/POS. Support online sales by responding to customer enquiries, preparing and packing orders, coordinating delivery or collection, and ensuring accurate order fulfilment.
  • Maintain store standards and coordinate daily tasks with team members and volunteers, ensuring a clean, safe, and welcoming store and stockroom environment.
  1. Donation & Donor Management
  • Receive, sort, process, and track donated items for resale or redistribution in accordance with P2B procedures.
  • Maintain accurate donation and inventory records using MISA eShop and Excel tracking files, and ensure items are appropriately labelled and stored to preserve their condition and traceability.
  • Communicate with donors and provide timely donation updates and follow-up support.
  1. Program & Administrative Support
  • Prepare monthly sales, donation, inventory, and expense reports using Excel, ensuring data accuracy and timely submission.
  • Support fundraising events, program activities, basic social media content, and volunteer coordination.
  • Assist with expense documentation and other administrative tasks as assigned, including daily sales and payment reconciliation and maintaining complete supporting documents in accordance with internal procedures.

REQUIREMENTS:

A – MUST-HAVE

  • 2-3 years of relevant experience in retail operations, programme coordination, administration, customer service, or related fields.
  • Strong written and spoken Vietnamese and English, with the ability to communicate effectively with internal teams, customers, and donors.
  • Available to work either Saturday or Sunday, based on the operational schedule, with one weekday off in lieu.
  • Strong organisational skills, logical thinking, attention to detail, and the ability to manage multiple tasks effectively.
  • Proficiency in Microsoft Excel for data tracking and reporting.
  • Responsible, proactive, reliable, and team-oriented, with a high level of integrity in handling sales transactions, cash, and records.
  • Comfortable with hands-on work, including receiving, sorting, processing, and arranging donated items.

  • Experience using MISA eShop, POS systems, or other retail/inventory-management software.
  • Experience in donation management, inventory control, visual merchandising, online selling, or basic social-media content support.

  • Experience working with volunteers, donors, or community-based programmes.

BENEFITS:
